Fifty percent (50%) of the total rental fee is due within five (5) days of making your reservation. The balance of the rental fee must be received thirty (30) days prior to your arrival. Payments for advanced deposits are preferred via check, money order or certified check. A $50.00 handling fee will be charged for all returned checks. A $400 security deposit is also required upon booking Northlake Cabin. This deposit will be returned to you in full, upon an inspection, within ten days after you check out. By sending and upon receipt of your deposit, you are entering into a contractual agreement and thereby agree to all terms and conditions set forth by the owners of Northlake Cabin.
Reservations made within thirty (30) days of arrival must be paid with a Certified check or PAYPAL Option. In some cases, a personal check may still be used at owners discretion.
Final payment must be received within 30 days of arrival. If the payment is not received within this time period, your reservation may be canceled and the advance deposit forfeited if the property is not re-rented for the same dates at the same rates.
Standard Check-in is no earlier that 1:00 pm but since we’re owner managed is to your advantage. Just ask. Once your reservation is confirmed and final payment is received you will be given a combination that will allow access to a key safe. Combinations to the safe are changed frequently so you may not receive the access combination until within 24 hours of the initial rental day. Please do not lose KEY.
All visitors must supply their own bedding for each bed in the cabin. We DO NOT INCLUDE BED LINENS. Bath towels ARE supplied within the listing amenities.
First floor: 1 queen, 1 twin
2nd floor: 2 queens, 1 twin
Loft: 1 full futon, 1 rollway
Basement: 2 bunk beds (full/single and single/single)
Check out time is 11:00 am or ASK. PLEASE RETURN KEY TO SAFE. Please refer to the instructions below and make sure the following items are completed prior to departure:
- Trash must be bagged and left in the kitchen by the front door. NO loose trash please! (Bears)
- Empty and wipe out the refrigerator and the cupboards of all items you brought to the house
- Load and start the dishwasher
- Wash and dry all towels used; the dryer may be left running.
- Leave the furniture and TV’s, VCR’s, DVD’s arranged as you found them
- In cold weather, please turn thermostats down to 55 degrees and make sure all fires have been extinguished
- Please do a final walk-through to check that all doors and windows are closed and locked and that all lights are turned off. Blinds should be closed.
- Return key to lockbox
- Secure Hotub Cover and lower temp to 85 degrees.
A cleaning fee (minimum of $50.00) will be deducted from your security deposit if the property is not left in acceptable condition or requires excessive housekeeping time to return the property to its original condition.
A damage or security deposit is to protect the home from malicious or negligent damages and/or if the home is left excessively dirty or if the hot tub is left in a condition that requires the hot tub to be drained and sterilized (i.e. carpet/furniture stains, incomplete check out duties or obvious abuse of the hot tub) A $400 refundable security deposit is collected upon booking and is paid by separate check, money order, certified check or credit card. When using a credit card an authorization will be placed on your credit card; this authorization tells your credit card company that you have agreed to pay the amount specified if there are any damages to the property. The authorization puts a temporary hold on the funds for ten days. Upon arrival, it is the tenant’s responsibility to immediately report any damages found. Failure to report any damages found during your stay may result in a partial or complete loss of the security deposit. Tenant(s) also agree to reimburse the owner for any damage expenses incurred in excess of the security deposit, including collection costs and reasonable attorney’s fees. Guests will be notified within 14 days of any neglect or abuse reported by housekeeping; otherwise, your check/voucher will automatically be destroyed.
All cancellations and /or reservation changes must be made in writing. We will do our best to re-rent Northlake Cabin for the same dates at the same rate. Reservation cancellations and changes (31 days or more) incur a $50 cancellation fee. In the event that you must cancel your reservation 31 days or less prior to your arrival, your deposit cannot be returned unless the property is re-rented at no loss to the owner for the same dates. If the property is re-rented for the same time period and at the same rate, your deposit, less a $100 administrative fee, will be returned.
When you are faced with the possibility that your entire deposit will be forfeited, you may request a date transfer in the same unit in the same year. All requests for transfers must be made in writing at least 31 days prior to arrival date. When transferring from a higher rental rate season to a lower rental rate season, you will be charged the higher rental rate. All transfers incur a $25 fee.
The Northlake Cabin is privately owned and occupancy is limited to family groups only. Therefore, fraternities, sororities, and non-chaperoned groups will not be allowed. No one under 21 may obtain a rental agreement. If a group is found to be misrepresented, the group will be evicted immediately without refund and loss of security deposit. The maximum occupancy for North Lake Cabin House is 10 unless otherwise agreed upon.
No pets or other animals are allowed. Immediate eviction and forfeit of deposit will occur if violated.
ARE NOT PERMITTED at Northlake Cabin nor within the development.
NO UNLICENSED Motorized vehicles are permitted at Northlake Cabin nor with the development. Motorized watercraft are also not permitted.
Our home reflects our taste and style. The house is a 2004 Old Virginia Hand Hewn via Pennington Gap Virginia which is probably the best product within a large regional market. Log tolerance/fit is extraordinary and Old Virginia stands by its product. We want you to have a wonderful vacation and enjoy yourself, which is why we make every effort to remedy unpleasant situations and correct any problem you might experience in a timely manner. Please notify us promptly if you experience inoperative equipment or other problems.
Northlake Cabin is fully equipped with glassware, dishes, coffee maker, toasters, pots and pans, utensils, bath towels, dishwashers, microwaves and laundry machines. We do not provide bed linens. There is a starter supply of paper products, detergents, and trash bags; these items are not guaranteed to last your entire stay. No long distance calls may be placed without a credit card. At present 3/2013, ATT cell services work the best. The Wifi works well. So far.
Firewood is provided for our winter guests; kindling is not. The wood burning fireplace requires careful attention. Please do not build big fires; this can cause the glass door to shatter. Please make sure fires are extinguished before departing, but please leave hot ashes in the fireplace. Please make sure the flue is open before using any the fireplace. Please close the flue upon your departure but only if you are absolutely sure the fire is completely out. Renters are responsible for damage caused by hot embers. This includes burn marks on carpets and hardwood floors, so please use the screen provided. Wood chopping is prohibited in the house and on decks and porches. Do not break tree limbs for kindling.
Climbing on the roof is unsafe and strictly prohibited. Immediate eviction will result.
Northlake Cabin is a non-smoking house.
Call the owner. A $50 fee may apply depending upon circumstance.
Remove cover from tub and set aside. Adjust temperature to desired setting. Set tub at 85 degrees when not in use. Helpful hint – enter the tub at about 100 degrees, then increase to 104. No glassware, bottles, food or candles or smoking in and around the spa. Never remove the filter cover or filters. Never add chemicals or soap. Please shower before entering the tub. DO NOT STAND ON COVER. Replacement cost is $400. If excessive cleaning is required, forfeiture of security deposit will be the result. Replace and lock down the cover when not in use. TURN OFF the lights. Never use alcohol or other drugs when using the tub. Never remove access panels on the tub. Altering electrical settings or plumbing configurations is prohibited.
